Monthly statements are posted in your Owner Portal. Your statement provides a summary of income, expenses, management fees, maintenance charges, owner contributions, and distributions for the applicable reporting period.
Supporting invoices and other property documents may also be available through the portal.
Owner distributions are generally processed by the 15th of each month after tenant payments have cleared and the property’s current expenses and required reserves have been accounted for.
The timing or amount may vary when rent has not been received, payments are still processing, the property has outstanding expenses, or additional funds must remain in reserve.

Tenants submit maintenance requests through their online portal. DPM reviews the request, determines its urgency, gathers additional information when needed, and coordinates an appropriate vendor.
Routine repairs are handled according to the management agreement and the property’s approval requirements. Emergency, habitability, or property-threatening conditions may require immediate action to prevent additional damage or address the condition.
DPM will seek owner approval when the anticipated cost exceeds the authorization provided in the management agreement, unless the repair involves an emergency, habitability concern, legal requirement, or immediate risk to the property.
Smaller routine repairs may be completed without separate approval when they fall within the agreed authorization limit.
Owners may recommend a vendor, but vendors performing work through DPM must satisfy applicable licensing, insurance, registration, and operational requirements.
Using DPM’s approved vendor network generally allows us to coordinate scheduling, invoices, documentation, tenant communication, and follow-up more efficiently.
Repair timing can depend on tenant availability, vendor schedules, parts availability, required estimates, owner approval, and the complexity of the work.
DPM coordinates the work, but the tenant and vendor generally arrange the actual appointment directly. If a vendor is unresponsive, misses an appointment, or the work is not completed correctly, DPM can follow up or consider another provider when appropriate.
DPM reviews comparable rental listings, recent leasing activity, property condition, location, amenities, vacancy trends, and current market demand.
We provide the owner with a recommended rental range. The final pricing decision is generally made by the property owner, subject to applicable laws, existing lease terms, and notice requirements.
DPM is a third-party property management company acting on behalf of the property owner. The owner generally makes the final rent-increase decision after reviewing DPM’s market information and recommendations.
DPM coordinates and delivers the applicable notice based on the owner’s direction, existing lease terms, and current legal requirements.
Before a lease expires, DPM reviews the tenancy, current rent, market conditions, property plans, and applicable requirements. We then provide the owner with a recommendation and request instructions.
Once the owner’s direction is received, DPM communicates the available renewal terms to the tenant and coordinates the required documents and notices.
DPM contacts the tenant, documents the delinquency, and takes the appropriate notice and collection steps permitted by the lease and applicable law.
When formal legal action becomes necessary, DPM coordinates with experienced landlord-tenant counsel and assists with the information and documentation needed for the process. Legal advice and representation are provided by the attorney, and related costs are handled according to the management agreement and applicable documents.
DPM reviews the available information and determines whether additional documentation, communication, inspection, or a formal notice is appropriate.
Owners should generally avoid contacting the tenant directly about alleged violations while DPM is handling the matter. Consistent communication and documentation help avoid conflicting instructions and allow the issue to be handled through the appropriate process.
The type and frequency of inspections depend on the property, management agreement, tenancy, and circumstances. Inspections may include move-in documentation, routine property assessments, maintenance-related visits, and move-out inspections.
An inspection reflects the visible condition of the property at the time of the visit and is not a substitute for a specialized structural, environmental, building-code, or other professional inspection.
Owners should generally route tenancy-related communication through DPM. Direct communication can cause confusion, create conflicting instructions, or interfere with documentation and required procedures.
Please contact your assigned property manager when you have a request, concern, or message for the tenant so DPM can coordinate the communication appropriately.
Property access must comply with the lease and applicable notice requirements. Contact your property manager before planning a visit, inspection, repair, appraisal, or showing.
DPM can help coordinate the required notice and access with the tenant. Owners should not enter an occupied property without proper authorization and notice.
